What to Include in a Request for Quote

A complete request for quote gets you an accurate price sooner, with fewer rounds of questions. Here is what our engineers look for when a request arrives, and why each item matters.

1. Drawings and 3D models

Send fully dimensioned 2D drawings with tolerances and revision levels, and 3D models in STEP or IGES if you have them. The drawing defines what is inspected; the model speeds up programming and fixture design. If the two disagree, tell us which one governs.

2. Material grade and specifications

Name the grade and its standard, for example ASTM A36, AISI 4140 or EN S355J2, and any requirements for heat treatment, hardness, impact testing or material certificates. If a grade is hard to source, we can propose an equivalent for your approval.

3. Quantities and annual volumes

Give the quantity for this order and the volume you expect each year. Volume decides the right tooling, fixtures and process, so a first order of 20 parts with 2,000 a year behind it is quoted differently from a one-off.

4. Finish and coating

State the finish, whether a paint system, powder coat, galvanizing, plating or a specialty coating, with its thickness and color, and any masking for threads or machined faces. Our guide to choosing a finish compares the common options.

5. Inspection and documentation

List what must ship with the parts: dimensional reports, material certificates, NDT reports, pressure test records or a first article inspection report. Mention any customer or industry standard that applies, such as EN 15085-2 for welded rail components.

6. Delivery location and target date

Tell us where the parts are going and when you need them, and whether warehousing or vendor-managed inventory close to your plant would help.

Send what you have, even if it is incomplete. If something is missing, an engineer will ask, and you will hear from us within 24 to 48 hours.
